Wedding demand is not the same across every Indian city, hotel or calendar. Dates, traditions, travel patterns, venue format and local competition all matter. Rather than assuming one universal wedding season, review the event dates and enquiry patterns that are relevant to your property and market.
Build a local demand calendar
Combine confirmed functions and room blocks with local holidays, event dates, citywide demand and the hotel’s own booking patterns. Ask the sales and operations teams to flag dates where event activity could affect rooms, restaurant demand, parking, setup or staffing.
Qualify the full opportunity
For each enquiry, understand expected guest rooms, event-space requirements, food and beverage needs, function timing, setup and service commitments. Confirm the decision timeline and the information the planner needs to evaluate the offer. A large enquiry is not automatically the best fit if its requirements conflict with available capacity or other business.
Understand displacement and total value
Consider which rooms and facilities the event would use, what demand could be displaced, and what revenue and operating costs are associated with the overall request. Use the hotel’s own policies and information to compare the opportunity with other likely business. This helps teams discuss trade-offs with context.
Coordinate room inventory and pricing
Agree how room blocks, release dates, booking conditions, room types and public availability will be handled. Make sure any agreed terms are recorded and accurately reflected in the systems and channels used by the hotel. Review remaining inventory as the event date approaches and follow the commitments in the contract.
Connect sales, revenue and operations
Bring the relevant colleagues into the planning conversation. Sales manages the enquiry and agreement; revenue teams review the dates and inventory; operations considers service delivery and capacity; marketing may support the property story or event content. Clear ownership reduces the chance of missing important handoffs.
Use a simple event opportunity checklist
- What dates, rooms, spaces and services are requested?
- What is confirmed, tentative or still dependent on a decision?
- What is the booking and cancellation timeline?
- How could the event affect other rooms or guest experiences?
- Who owns the response, contract, inventory and follow-up?
- When will the opportunity and remaining availability be reviewed?
Plan the next season from what you learn
After each event, review the process with the team. Note which information arrived early, where handoffs were difficult and what worked well for guests and staff. Use those observations to improve future enquiry handling and planning.
Wedding business can be a meaningful part of a hotel’s mix when the property, dates and requirements align. A local, property-specific review is more useful than a fixed assumption about peak season.
